AFAC is the national council for fire, land management and emergency service authorities in Australia and New Zealand, representing 34 member organisations, comprising permanent, part-time personnel and volunteers, totalling 288,000 firefighters and emergency workers. AFAC engages with members through a collaboration model as well as event facilitation, professional development and influencing regulations and standards.

About the position

The Administration Support Officer will provide comprehensive administrative support to AFAC Directorates. This role encompasses executive assistance, project support, administration, and coordination of strategic initiatives. The Officer will also be involved in assisting with the preparation and tracking the AFAC Strategy and business plan, ensuring the alignment of projects with organisational goals.

Key responsibilities

Executive support

  • Coordinate and prepare agendas and papers for meetings and collaboration/governance meetings.
  • Assist Directors/Managers with preparation and proofing of Board and Council papers.
  • Take minutes and ensure accurate record keeping for governance meetings.

Project support

  • Provide administrative support for various AFAC projects.
  • Maintain project management plans, including budgets, contracts, risk registers, and resourcing documents.
  • Research, gather and synthesize information to develop high quality meeting papers and briefing documents.
  • Deliver and coordinate key administration tasks to achieve project milestones, outcomes, and timelines.
  • Support collaboration/working groups, performing secretariat duties such as agenda preparation and record keeping.

Communication and industry engagement

  • Engage with, support, and collaborate with agencies across the AFAC membership.
  • Prepare high-quality meeting papers and briefing documents by researching and synthesizing information.
  • Attend, present, or represent AFAC at various events as required.

Governance and administration

  • Monitor and track reporting frameworks, including KPIs and trend analysis.
  • Escalate project issues and recommendations to senior leadership.
  • Maintain strong relationships with internal and external stakeholders, ensuring effective communication and collaboration.

Other duties as directed

  • Contribute to the development of training materials, particularly for specific response scenarios such as electric vehicle fires.
  • Requirement to participate in AFAC’s Duty Officer roster (as part of the National Resource Sharing Centre). This will entail a requirement to be available for afterhours and weekend support based on availability and the Duty Roster. Appropriate overtime compensation mechanisms are available for Duty officer responsibilities.
  • Participate in broader AFAC activities as required by the organisation.

Key selection criteria

Essential

  • Demonstrated experience in executive support and/or project administration.
  • Strong organisational and time management skills.
  • High-level written and verbal communication skills.
  • Excellent attention to detail.
  • Experience in monitoring and tracking reporting frameworks.
  • Ability to work autonomously and in a team environment.
  • Proficiency in Microsoft Office suite and virtual meeting platforms (e.g. SharePoint, Zoom/MS Teams).

Desirable

  • Qualification in a relevant field with appropriate experience.
  • Experience developing training materials and technical documentation.
  • Project management experience.
  • Understanding of the emergency management sector and operational roles.
